Private Event Agreement

Price and Package:

 

All payments must be made upon request in order to secure the date, In the case were a booking is made on short notice then the payment must be made immediately from when the inquiry is made and date has been booked. Please Note we do not accept partial deposits or payments for events. All of our prices and packages are available on our website, www.ibcyyz.com we will make no alterations to these packages after the agreement has been signed.

 

Equipment Rental:

 

When using equipment that belongs to the venue, you will be charged a flat rate for your usage depending on the package you select, all equipment must be documented and returned back to us at the end of your event, any lost or damaged equipment must be paid for immediately.

 

Staff , Security,Safety Liability:

 

You are responsible for your guests, this means that you must know who you are inviting to your events and also have a list of attendees, you must provide a safe environment for you and your guests at all times, making sure you have the right amount of security on hand that we supply to assist with running your event.  We offer security at a rate no less than $25.00 per hour, We provide in house security, bartenders and door staff(depending on the package you choose) all security guards and bartenders must be licensed. Any sort of abuse, racism, sexism, homophobia wether verbal or physical in any manner will not be tolerated on both sides.

 

Promotions and Marketing:

 

When using are location we ask that you add our logo to any promotional material (not just the address of the IBC) , all promotion involving the sale of alcohol must be done privately, meaning no promotional material should be available to the public that states that drinks are to be sold at our establishment wether you have a Special Occasion Permit or not. Marketing and promotion must be done through private methods only. In the case where any local authorities shutdown your event because of marketing your event publicly , then you will be held responsible. Signature of this documentation will acknowledge your understanding of our terms on promotions and marketing. (This applies to any event selling alcohol with a private s.o.p. liquor licence)

 

Damages:

 

Any walls paintings or equipment etc... that belongs or in the responsibility of the IBC that is damaged must be paid for and reimbursed immediately, you acknowledge that we have the right to hold a cash security deposit until the damages are paid for, this deposit may include the seizure of any property remaining in the venue after your event is done, you acknowledge that you forfeit your right to make a claim against the IBC or any of its members for seizing any monies or property from you in the event of such things occurring. You are expected to do a walk through before and after the event to see the condition of the venue prior to the rental and after. It is in your right to request that anything that you deem a hazard or you believe may break be moved by an IBC representative .

 

Legalities:

 

All costs, Expenses and Expenditures including , without limitation the complete legal costs incurred by enforcing this agreement for failure to comply with the terms written out in this agreement will be added to the amount owing .  You will have 30 days to pay any amounts owing before the matter is sent to collections or small claims court. At no point in time  before or after this agreement is signed may the client bring the IBC or its staff to any level of court, because of an issue that may have encountered on our premises, wether personal injury or discrepancies  you may have with our service. We will however make sure your needs are met and any situations that arise will be met with a positive solution for both parties. 

 

Privacy:

 

All doors must be secured during event , this is a private space that is not open to the public, all business dealings with the IBC is deemed confidential and the details of any business dealings such as possible discounts or promotions should not be shared with others, in the case were it is found that this has been violated, your membership and any further business dealings will be revoked.

Rescheduling + Cancellation:

All cancellations or rescheduling is non refundable once the agreement has been signed and payment has been made.

 

Membership:

 

We charge an automatic mandatory member ship fee in order to throw an event with our business this will be included in the price, this is a private members only establishment.

 

Partnerships:

 

All costs to stock the Bar, including the payment of staff should be split evenly (Depending on package selected), no one party should take it upon themselves to cover all costs or operate on a credit based system, all monies from either party should be provided before or at the time of purchase to avoid any issues, receipts are mandatory in order to be compensated for anything you may have purchased.

 

Noise:

 

Please maintain a reasonable sound level for the duration of the event, failure to respect this request may result in the stoppage  of the event, so it is advised you are aware of noise levels, run a sound check prior to your event to avoid this. We may have neighbours depending on the IBC venue your using, so we must do our best to keep that in mind .  Sub woofers and over the top sound setups are not advised. 

 

DJ and Sound Equipment Use:

 

It is the responsibility of the Client to provide any additional sound that is needed, (depending on the package you have chosen) , we provide a very basic sound set up you will be charged ($ 25 per unit )for any additional equipment that may be needed. It is the responsibility of the client to assure that the DJ booth, microphones etc is in solid working order.You are responsible for any missing, or damaged equipment that belongs to the IBC that you rent from us. 

 

Washrooms + Supplies:

 

It is not our duty to supply washroom supplies, but we will stock an adequate amount before your event, we are not responsible for suppling cups, bottled water etc when you buy-out our venue, please keep the washroom clean, during and after your event, you will be expected to pay for any damages.

 

Additional Rooms + Time :

 

Any additional rooms within the Centre will be available at an additional price, which is to be paid in conjunction or prior to the commencement of your event Note: This is negotiable depending on which package you select and the use of the space, all rented rooms must be cleaned after use, In the case you wish for a time extention past our hours of operation, It will cost an additional $180 + you will need to pay for security during these times. ( This is not included with a buy out, and our business centre is not to be used as an after hours.
